Friends of the Warsaw Philharmonic Club Regulations

Warsaw Philharmonic prides itself in attracting a circle of friends and donors who support its activities by purchasing membership cards.

§1 General Provisions

These Regulations specify the privileges of members of the Friends of Warsaw Philharmonic Club and the terms on which Warsaw Philharmonic provides services to the Club members.

The purpose of the Friends of Warsaw Philharmonic Club is to bring together music lovers and enable them to participate actively in the Warsaw Philharmonic’s activities.

The terms used in these Regulations shall have the following meanings:

1. Gratuitous Programme Booklet – a programme booklet covering extraordinary, symphonic and chamber music concerts. Programme booklets will be available gratuitously from the usherettes (in the Ball Room on the ground floor of the Concert Hall and in the left-hand side foyer of the first Concert Hall balcony);

2. Member of the Friends of Warsaw Philharmonic Club – a natural or legal person or an organizational entity granted legal personality under special regulations who/which joins the Friends of Warsaw Philharmonic Club by paying a membership fee;

3. Warsaw Philharmonic – Warsaw Philharmonic with its head office in Warsaw (00-950), at ul. Jasna 5, entered in the register of cultural institutions maintained by the Ministry of Culture and National Heritage under No. RIK 5/92; Taxpayer ID No.: 525-000-97-43, Industry ID No.: 000278534;

4. Membership Card – a card of a member of the Friends of Warsaw Philharmonic Club serving as proof of the membership with the member’s name or corporate name printed on it;

5. Friends of Warsaw Philharmonic Club – A circle of friends of Warsaw Philharmonic;

6. Programme Book of Warsaw Philharmonic – a programme book published by Warsaw Philharmonic annually for each season of artistic activity;

7. Programme Booklet of Warsaw Philharmonic – a programme booklet issued by Warsaw Philharmonic for each concert;

8. Bank Account – Warsaw Philharmonic’s bank account operated by Bank Gospodarstwa Krajowego which is earmarked for the activities of the Friends Club members and has the following number: 50 1130 1017 0020 1461 3520 0009.

9. Regulations – these Regulations;

10. Season – a season of artistic activities pursued by Warsaw Philharmonic from September 1st till June 30th of the following year.

§2 Club Members. Purpose of the Club

A natural or legal person as well as organisational entities granted legal personality under special regulations are welcome to join the Friends of Warsaw Philharmonic Club.

The membership in the Friends of Warsaw Philharmonic Club is contingent on providing support to Warsaw Philharmonic in the form of paying a membership fee for a given season.

Membership in the Friends of Warsaw Philharmonic Club is seasonal. Regardless of the payment date, membership starts as soon as a membership fee is credited to Warsaw Philharmonic’s Bank Account earmarked for the Friends Club, and expires on the date on which Warsaw Philharmonic starts selling season tickets for the following season.

Payment of the fee referred to in § 3 of these Regulations means that an individual or an entity wishes to join the Friends Club in the season in which the payment is made, and approves these Regulations.

 

§3 Payment

The membership fee shall be paid by a one-off bank transfer to Warsaw Philharmonic’s account.

In return for payment of the membership fee in a given Season, members of the Friends of Warsaw Philharmonic Club shall receive the following types of cards:

1. contribution of PLN 100 - 499.99 – Bronze Membership Card;

2. contribution of PLN 500 - 999.99 – Silver Membership Card;

3. contribution of PLN 1000 - 2,999.99 – Golden Membership Card;

4. contribution of PLN 3,000 and more – Platinum Membership Card;

5. contribution of PLN 5,000 and more – Corporate Golden Membership Card (available to legal persons only).

Upon request, members of the Friends Club receive a report on how the funds from the Bank Account earmarked for the Club’s activities have been spent.

 

§4 Privileges of the Friends Club Members

Subject to the provisions of these Regulations, Warsaw Philharmonic provides the following services to members of the Friends of Warsaw Philharmonic Club:

Bronze Membership Card

A member of the Club holding the Bronze Membership Card shall have the following privileges:

1. receiving information about Warsaw Philharmonic’s repertoire by regular mail or e-mail, depending on the member’s preferences;

2. access to a special lot of tickets which expires 30 days prior to a respective concert;

3. possibility to participate in orchestral rehearsals on Thursdays (usually held from 9:15 am till 1:00 pm);

4. having the member’s name (first name and surname) entered on the list of members of Friends of Warsaw Philharmonic Club published in the Programme Booklets, Website and Programme Book as long as the member consents to it.

Silver Membership Card

A member of the Club holding the Silver Membership Card shall have the following privileges:

1. receiving information about Warsaw Philharmonic’s repertoire by regular mail or e-mail, depending on the member’s preferences;

2. possibility to participate in orchestral rehearsals on Thursdays (usually held from 9:15 am till 1:00 pm);

3. having the member’s name (first name and surname) entered on the list of members of Friends of Warsaw Philharmonic Club published in the Programme Booklets, Website and Programme Books as long as the member consents to it;

4. receiving a Programme Booklet gratuitously;

5. access to a special lot of tickets which expires 15 days prior to a respective concert;

6. receiving one Programme Book of Warsaw Philharmonic per Season gratuitously;

7. possibility to attend meetings organised for the members of the Friends of Warsaw Philharmonic Club.

Golden Membership Card

A member of the Club holding the Golden Membership Card shall also have the following privileges:

1. receiving information about Warsaw Philharmonic’s repertoire by regular mail or e-mail, depending on the member’s preferences;

2. possibility to participate in orchestral rehearsals on Thursdays (usually held from 9:15 am till 1:00 pm);

3. having the member’s name (first name and surname) entered on the list of members of Friends of Warsaw Philharmonic Club published in the Programme Booklets, Website and Programme Books as long as the member consents to it;

4. receiving a Programme Booklet gratuitously;

5. receiving one Programme Book of Warsaw Philharmonic per Season gratuitously;

6. possibility to attend meetings organised for the members of the Friends of Warsaw Philharmonic Club;

7. receiving publications of Warsaw Philharmonic;

8. possibility to attend, with one accompanying person, meetings held in the Government Lounge during intermissions;

9. possibility to attend meetings with Artists held by Warsaw Philharmonic,

10. access to a special lot of tickets which expires 1 day before a respective concert (two tickets can be purchased upon showing the Golden Membership Card).

Platinum Membership Card

A member of the Club holding the Platinum Membership Card shall have the following privileges:

1. receiving information about Warsaw Philharmonic’s repertoire by regular mail or e-mail, depending on the member’s preferences;

2. possibility to participate in orchestral rehearsals on Thursdays (usually held from 9:15 am till 1:00 pm);

3. having the member’s name (first name and surname) entered on the list of members of Friends of Warsaw Philharmonic Club published in the Programme Booklets, Website and Programme Books as long as the member consents to it;

4. receiving three Programme Booklets gratuitously;

5. receiving three Programme Books of Warsaw Philharmonic per Season gratuitously;

6. possibility to attend meetings organised for the members of the Friends of Warsaw Philharmonic Club;

7. inviting five guests to the meetings organised for the members of the Friends of Warsaw Philharmonic Club;

8. receiving publications of Warsaw Philharmonic;

9. possibility to attend, with accompanying people, meetings held in the Government Lounge during intermissions;

10. possibility to attend meetings with the Management and Artists held by Warsaw Philharmonic;

11. access to a special lot of tickets which expires 1 day before a respective concert (six tickets can be purchased upon showing the Platinum Membership Card).

Corporate Golden Membership Card

A member of the Club holding the Corporate Golden Membership Card shall have the following privileges:

1. receiving information about Warsaw Philharmonic’s repertoire by regular mail or e-mail, depending on the member’s preferences;

2. possibility to participate in orchestral rehearsals on Thursdays (usually held from 9:15 am till 1:00 pm);

3. having the member’s name (first name and surname or corporate name) entered on the list of members of Warsaw Philharmonic Friends Club published in the Programme Booklets, Website and Programme Book as long as the member consents to it;

4. receiving Programme Booklets gratuitously;

5. receiving one Programme Book of Warsaw Philharmonic per Season gratuitously;

6. possibility to attend meetings organised for the members of the Friends of Warsaw Philharmonic Club;

7. receiving publications of Warsaw Philharmonic;

8. possibility to attend meetings with Artists held by Warsaw Philharmonic,

9. possibility to attend, with accompanying people, meetings held in the Government Lounge during intermissions;

10. access to a special lot of tickets which expires 1 day before a respective concert (six tickets can be purchased upon showing the Corporate Golden Membership Card).

 

§5 Using the Privileges

In order to take advantage of membership privileges, members of the Friends of Warsaw Philharmonic Club should present the Membership Card.

For organisational and practical reasons, the Club members should communicate their interest in attending meetings with Artists, with the Management or with other Club members to the Warsaw Philharmonic Department of Promotion (phone: +48 22 55 17 120, e-mail: klub@filharmonia.pl) at least three days in advance.

Using the Warsaw Philharmonic Friends Club member’s name or corporate name in any printed or published materials requires a consent from that member. The consent form has been provided below:

I consent to the processing of my personal data (i.e. my first name and surname) by Warsaw Philharmonic with address at ul. Jasna 5, 00-950 Warsaw, for the purpose of promoting me as a member of the Warsaw Philharmonic Friends Club by including my personal data on the list of the Warsaw Philharmonic Friends Club members published in Warsaw Philharmonic programme booklets, on its website and in programme books. I am aware that my consent may be withdrawn at any time. I am aware that withdrawing my consent does not affect the lawfulness of processing based on that consent prior to its withdrawal.

 

The consent form, with a signature and date, should be sent to the mailing address of Warsaw Philharmonic, or scanned and sent by e-mail to: klub@filharmonia.pl.

Detailed information about personal data processing by Warsaw Philharmonic is provided in § 6 below. A member of the Friends of Warsaw Philharmonic Club is kindly requested to read the information below.

 

§6 Personal Data Protection

As a national cultural institution, Warsaw Philharmonic is particularly committed to protecting personal data of patrons of cultural events hosted by Warsaw Philharmonic, including members of the Friends Club. 

Warsaw Philharmonic is the controller of personal data of the Friends Club members. The contact details are as follows: Filharmonia Narodowa, ul. Jasna 5, 00-950 Warszawa.

Warsaw Philharmonic has appointed a Data Protection Officer who can be contacted at: Inspektor ochrony danych osobowych Filharmonii Narodowej, ul. Jasna 5, 00-950 Warszawa or by e-mail at: [rodo@filharmonia.pl].

Personal data of members of the Friends Club are processed solely for the purpose of providing the privileges associated with the Club membership (legal basis: Article 6(1)b of the GDPR) and promoting members of the Friends Club provided they have consented to it (legal basis: Article 6(1)a of the GDPR) in order for Warsaw Philharmonic to pursue its legitimate interests such as determination, assertion or defence of claims and carrying out activities in order to foster culture (legal basis: Article 6(1)f of the GDPR).

Personal data may be transferred to entities collaborating with Warsaw Philharmonic, including providers of services related to cultural activity, printing, IT and legal services to Warsaw Philharmonic.

Personal data of members of the Friends Club may appear on the list of members of the Friends of Warsaw Philharmonic Club published by Warsaw Philharmonic in its Programme Booklets, on its Website and in Programme Books only with the members’ consent.

Warsaw Philharmonic may process personal data of members of the Friends of Warsaw Philharmonic Club by the date on which the limitation period for claims expires in accordance with generally applicable provisions of law.

Members of the Friends of Warsaw Philharmonic Club shall have the right to request the following from Warsaw Philharmonic:

1. access to their personal data;

2. rectification of their personal data;

3. restriction of processing of their personal data;

4. making an objection to processing of their personal data with respect to their first name and surname;

5. erasure of their personal data;

6. making a complaint to a supervisory authority.

A member who has given her/his consent referred to in § 5.3 hereof shall have the right to withdraw her/his consent at any time. Consent may be withdrawn by sending a statement to the address of Warsaw Philharmonic at ul. Jasna 5, 00-950 Warszawa or to its e-mail address: [rodo@fiharmonia.pl]. The withdrawal of a consent shall not affect the lawfulness of processing based on that consent before its withdrawal.

Joining the Friends of Warsaw Philharmonic Club is conditional on providing personal data and refusal to provide personal data shall prevent Warsaw Philharmonic from providing the services specified above.

Members of the Friends of Warsaw Philharmonic Club shall not be subject to automated decision-making, including profiling, and their data shall not be transferred to third countries or international organisations.

Warsaw Philharmonic would like to advise that sound and image may be recorded during cultural events which will be transmitted live on the Internet, and recordings and photographs may be taken during cultural events which may be published by Warsaw Philharmonic on its Website at http://filharmonia.pl/, on social networks and in publications promoting the cultural events hosted by Warsaw Philharmonic, including the Programme Book. The use and dissemination of images of Warsaw Philharmonic Friends Club members as referred to above shall be limited to presenting such images as a detail of the whole cultural event. In addition, Warsaw Philharmonic would like to advise that it does not collect personal data of members of the Friends Club to the extent of being able to identify the members on the basis of their image.

 

§7 Final Provisions

These Regulations take effect as of the date on which they are signed.

For matters not resolved by these Regulations the generally applicable provisions of law shall apply.

Warsaw Philharmonic reserves the right to amend these Regulations. Amendments to these Regulations shall be available at Warsaw Philharmonic’s Website and shall not apply to members of the Friends Club who joined the Club before the amendments are made.
